Event Logistics Management: Flights, Trains, Hotels, Rooms, and Arrivals
Guest travel is one of the highest-pressure parts of event execution. Tickets arrive as PDFs, WhatsApp images, screenshots, airline bookings, train tickets, and sometimes one file contains multiple passengers.
What ticket processing should extract
- Passenger names and passenger count.
- PNR, flight or train number, airline or rail details.
- Departure city, arrival city, date, time, and terminal when available.
- Return journey and connecting segments.
- Seat, meal, baggage, and booking status if present.
Map passengers to guests
When a ticket has four passengers, the system should create or update four guest-linked logistics entries. If names match existing guests, it should update those guests. If names are new, it should make it easy to add them to the guest list without losing travel details.
Connect travel to rooms and pickups
Arrivals only become useful when connected to hotel rooms, pickup vehicles, coordinators, and check-in plans. A logistics dashboard should show gaps clearly.
