Vendor Management for Wedding Planners: Categories, Prices, Tasks, and Follow-Up
Vendor management should answer simple questions quickly: who are the photographers, what are their prices, which decorator is confirmed, who is pending payment, and what deliverables were promised?
Start with categories
Every vendor should belong to a category such as photography, decor, catering, venue, hotel, transport, makeup, artist, production, or entertainment. This makes search, filters, reports, and AI answers far more accurate.
Track pricing clearly
Good vendor software should store estimate, final price, advance paid, balance due, payment dates, inclusions, exclusions, and notes. When this lives in one place, the planner can answer client questions faster.
Use AI for discovery, not hard-coded answers
Eve should read the actual vendor list and answer from live data, not from fixed examples. If a planner asks for decor vendors, the AI should search decor records only and return relevant prices.
